PoliNet Website Privacy Policy
- Introduction:
1.1 PoliNet, a website (“the Website”) owned and controlled by David Pearce trading as Autonomy, respects the privacy rights of their online visitors and recognises the importance of protecting the personal data, and other information, they collect about you. This Privacy Policy (“Policy”) is designed to help you understand how Autonomy, through the PoliNet Website, collects, stores, processes and discloses personally identifiable information about you.
1.2 This Policy, together with PoliNet’s Terms of Use [insert link], Cookie Policy [insert link] and any other documents referred to in them, sets out the basis on which Autonomy, contactable at 136 Burngreave Road, Sheffield, S3 9DH or contactable via email on datasafety@polinet.co.uk, will process any personal data collected from you, or which you provide, in the course of using the Website.
1.3 For the purposes of the UK Data Protection Act 2018 (“DPA’18”) and the UK General Data Protection Regulation (“UK GDPR”) David Pearce is the data controller.
1.4 For the purpose of this Policy, “PoliNet” refers to David Pearce and any other individual employed or instructed by Autonomy.

2.1 The personal data of users is processed under UK GDPR and DPA’18 under the lawful basis of contract and legitimate business interest.
2.2 All personal data collected from a user for the purposes of becoming a member of the PoliNet party, including any personal data collected through the application form on the Website, will be processed under the lawful basis of contract.
2.3 All other personal data, including any personal data collected through the contact form or through the general use of the Website, will be processed under the lawful business of legitimate business interest to provide marketing and other information relating to the PoliNet political party.

3.1 The following personal data may be collected from you when you contact PoliNet by filling in the contact form, join the PoliNet party by filling in the appropriate application form or otherwise interact with the Website:
a. your full name;
b. your email address;
c. your phone number;
d. your postal address;
e. your bank details (including your account number and CVS code); and
f. any other personal data provided as part of an enquiry made through the contact page on the Website.
3.2 During the course of using the Website other information, which may be categorised as personal data, may be collected from you. This includes, but is not limited to:
a. your Internet Protocol (“IP”) address;
b. your device type, for example iOS or Android;
c. your web and browser type;
d. any referring or exit pages taking you to or from the Website;
e. your time zone and location;
f. date and time stamps; and
g. your operating system.

4.1 PoliNet may use your personal data in the following ways:
a. to process your application for membership of the PoliNet party;
b. to process membership fees;
c. to respond to any enquiries made through the contact form;
d. to provide any resources or services you have requested;
e. to accept any donations through Chuffed;
f. to keep you up to date with PoliNet services or send you newsletters/other marketing material;
g. to provide you with information regarding the Website or PoliNet services that you request or PoliNet feel may interest you;
h. to fulfil any obligations that arise from the interactive features of the Website or that arise under any contract with the Website users;
i. to provide you with updates regarding the Website;
j. to notify you about changes to the Website, their services or PoliNet’s policies/compliance documents;
k. to ensure the content on the Website is presented in the most optimised and effective manner for you and your device;
l. to administer the Website and complete activities such as data analysis, testing, traffic monitoring and research;
m. to diagnose and fix technology problems; and
n. to control unauthorised use or abuse of the website, or otherwise detect, investigate or prevent activities that may violate our policies or are otherwise illegal.

- How your personal data may be disclosed:
5.1 In order to provide services to you, PoliNet may transfer your personal data to third parties, parent companies, affiliates, subsidiaries or service providers, some of which may process and/or store your personal data outside of the UK or the European Economic Area (“EEA”). In such an instance all reasonable steps will be taken to ensure that your personal data is treated securely and, where possible, in accordance with this Policy. Any data transfers that take place between the UK and EEA will be governed by adequacy decisions granted by the European Commission and the UK government. Transfers of personal data outside of the UK to countries located outside of the EEA will be governed by appropriate safeguards, for example Standard Contractual Clauses (“SCCs”).

- Servers and data storage:
6.1 Information collected through the Website is stored on secure UK based servers which are encrypted using SSL encryption, TLS 1.2 and TLS 1.3.
6.2 PoliNet holds your personal data in a combination of hard copy and electronic files for a period necessary to support the Website, comply with their legal obligations, resolve disputes, or otherwise fulfil the purposes outlined in this Policy.
6.3 In line with PoliNet’s internal procedures and the applicable laws and regulations, PoliNet operates a data retention period of 7 years from the last date of interaction with a user. At the end of the relevant retention period, or upon receiving a request for erasure from a data subject, PoliNet will not always remove or delete your information for a number of reasons, including due to technical and system constraints, or contractual or legal requirements.
6.4 PoliNet uses third party information system providers who may store or have access to your personal information. PoliNet may also retain backup information on their servers for some time in order to comply with applicable law or their internal security policies.
6.5 PoliNet asks that you do not send or disclose any special category of personal data (such as information related to racial or ethnic origin, religion or other beliefs, health, criminal background or trade union membership) on or through the Website or otherwise. If, contrary to this request, you do provide any special category of personal data, in doing so you acknowledge that PoliNet will be collecting and handling that data in accordance with this Policy.
6.6 No method of transmission over the internet, method of electronic storage or other security methods are 100% secure. Therefore, whilst PoliNet strives to use commercially acceptable means, such as firewalls, encryption and multifactor authentication, as well as limiting both physical and electronic access to databases and data centres, to protect your personal data against unauthorised access, use, disclosure or modification, they cannot guarantee its absolute security.
- Processing of personal data of those below the age of 13:
7.1 The Website is not intended for use by anyone under the age of 13. PoliNet does not knowingly collect or solicit personal data from anyone under the age of 13 and therefore ask that, if you are under the age of 13, you do not attempt to send any personal data about yourself to PoliNet, including but not limited to your name, address, telephone number and email address.
7.2 In the event that PoliNet confirms that they have collected personal data from someone under the age of 13 without verification of parental consent, PoliNet will delete/destroy that data promptly. If you are a parent or legal guardian of a child under the age of 13 and believe that PoliNet might be processing any personal data relating to your child, please contact PoliNet on datasafety@polinet.co.uk.

8.1 Right to access – Under DPA’18 you have the right to access the information PoliNet holds about you. If you wish to exercise this right, please send your request to datasafety@polinet.co.uk.
8.2 Right to rectification – Under DPA’18 you have the right to request the amendment or update of all or some of the personal data PoliNet holds about you. If you wish to exercise this right, please send your request to datasafety@polinet.co.uk.
8.3 Right to erasure – Under DPA’18 you have the right to have all of the information that PoliNet holds about you deleted in line with their statutory and legal obligations. If you wish to exercise this right, please send your request to datasafety@polinet.co.uk.
8.4 Right to restriction of processing – Under DPA’18, and in line with Article 18 (1) (a) to (d) of UK GDPR, you have the right to obtain from the controller restriction of processing. If you wish to exercise this right, please send your request to datasafety@polinet.co.uk.
8.5 Right to data portability – Under DPA’18, and in line with Article 20 (1) (a) and (b) of UK GDPR, you may have the right to request a copy of all of the personal data PoliNet holds about you in a structured, commonly used and machine readable format if the processing is based on the legal basis of contact or consent, and the processing is being carried out by automated means. 9.1 PoliNet regularly reviews it compliance with relevant data protection laws and regulations, and this Policy.
9.2 Where applicable, PoliNet cooperates with the appropriate data protection authorities, including the UK’s Information Commissioner’s Office (“ICO”), to resolve any complaints regarding the collection, processing and disclosure of personal data that cannot be resolved between PoliNet and yourself.

10.1 PoliNet reserves the right to change this Policy at any time. Any changes will take immediate effect unless you are notified otherwise. For this reason, it is recommended that you refer to this Policy on an ongoing basis so that you understand PoliNet’s current practices in regards to the processing of personal data collected through the Website.
10.2 Please note that if you click on, or follow, any links displayed on the Website to external website, this Privacy Policy will no longer apply. The inclusion of any third party link does not infer any ownership of the website and/or organisation it is associated with. For this reason, it is encouraged that you check the privacy policies of any such external websites before submitting any personal data, as PoliNet cannot accept any responsibility or liability in relation to them.
